Forms
This module connects your club directly with your student association, guild, or union.
From your portal, you can easily access, submit, and manage all your club-related forms, including:
Affiliations and re-affiliations
Grants and funding applications
Risk and insurance forms
You can track the status of your submissions (pending, approved, or rejected) using the submission tracker table. Automated email notifications will also keep you informed of any changes or updates.
Example: Completing the Affiliation Form as a Club
Submit a form
Log in to your club portal.
From the left-hand menu, click Forms.
Select the form you'd like to submit.
If the form is part of a group of forms, start with the first form in the group.
Fill out the form. You can save it as a draft at any time and return to complete it later.
When you're ready, click Submit Form.
You’ll receive a confirmation email once your submission has been sent.
Your student association will then review the form and notify you of its outcome: approved, rejected, or with notes attached.
You’ll also receive an automated email notification whenever the status of your form changes -whether it’s approved, rejected, or sent back with notes.
Tracking Your Submissions
Once a form has been submitted, you can track its status in the portal:
From the left-hand menu, click Submissions.
You’ll see a list of all your form submissions (from all years), sorted by category:
Action required: Forms that were rejected and need changes. Click Resubmit to view comments, edit, and resubmit.
Draft submissions: Forms you've started but haven’t submitted yet. You can continue editing or delete them.
All submissions: View all forms and filter by status (pending, approved, or rejected).
You’ll also receive an automated email notification whenever the status of your form changes -whether it’s approved, rejected, or sent back with notes.
Viewing Grouped Submissions
If your form is part of a grouped process (e.g. multi-step applications), you can track the overall progress:
Go to Forms in the left-hand menu.
Click Group Submissions.
You’ll see where your group submission is at in the approval process.
