Inventory Booking

Viewing inventory participants and submissions

The Participants list, a participant's profile, and the Submissions page for a store

As well as the Bookings page, each store has two other views of its bookings: by student or club (Participants), and by booking form sent (Submissions).

Participants

  1. Open the store and go to Participants from the side menu. Everyone who has sent a booking form to the store is listed here.

  2. Use the All, Students and Clubs tabs, or search by name, email, student number or club.

  3. Each row shows how many of the person's or club's bookings are Requests, Upcoming, Out Now, Overdue (in red) and Returned, when they Last Booked, and any tags. Club rows show the club's email.

A participant's profile

Click View profile in a participant's Actions menu to see their activity with this store:

  • Tiles: their requests, upcoming pickups, items out now, overdue items and returns, at a glance.

  • Bookings: every booking they've made, with the same actions as the Bookings page — approve, reject, check out, return, change and cancel.

  • Submissions: each booking form they've sent, with a summary of its items and a link to view it.

Tip: The profile is the quickest place to deal with someone at the counter — for example, to check out everything they've booked, or to see what they still have out.

Submissions

  1. Go to Submissions from the side menu to see every booking form sent to this store. Drafts aren't shown until they're submitted.

  2. Use the All booking forms drop-down to show one form only. Club forms are marked "(Clubs)".

  3. The Items column sums up where each submission's bookings are — for example, "3 items: 1 out, 1 overdue, 1 returned", with overdue in red.

Click a submission's form title to open it in a new tab. The Actions menu has the usual submission actions, such as viewing the submission and its notes. To approve, reject or check out the items themselves, use the Bookings page or the participant's profile — the submission's own status doesn't change its bookings. Archiving a submission cancels any of its bookings that haven't been checked out.
