Getting Started with Events
Events are a great way to bring your club or student organization's community together, whether you're organising a social event, dinner, party, ball, or another activity. Rubric allows you to create and publish events, manage ticket sales, set ticket restrictions, collect information from attendees, and promote your event with a shareable link or QR code.
Events Overview
When you open the Events page, you'll see an overview of your club's events, sales, and event activity.
Note: Depending on your university or student union's settings, some event features may not be available to your club. Your campus administrator can control which event features clubs can access.
Event summary
At the top of the page, the Events Summary section gives you a quick overview of your event performance, including:
Tickets sold: The number of tickets sold this year.
Total events: The number of events created this year.
Revenue: The revenue generated from your event ticket sales.
Ticket revenue: A comparison of your ticket revenue between the current and previous year throughout the year.
Tickets sold: A comparison of the number of tickets sold this year throughout the year.
Your events
Below the summary, your events are organised into different sections to help you quickly find and manage them, including:
Draft Events: Events that you've started creating but haven't published yet.
Recently Updated Events: Events that have recently been created or updated.
Rejected Events: Events that have been rejected by an administrator and require changes before they can be resubmitted.
Recurring Events: Your recurring event series.
Events by Year: Your events organised by year, such as Events in 2026, Events in 2025, and so on.
Event cards
Each event appears as a card showing key information about the event, including:
Event name
Event banner
Event link
Tickets sold
Revenue generated
People checked in
From each event card, you can:
Click Manage Event to access the event's management page.
Click the Edit icon to edit the event.
Click the three-dot menu (โฎ) to access additional actions.
Available actions may include:
Sell Cash Tickets
View Refunds
Ticket Scanners
View Waiting List
Get QR Code
View Purchases
Duplicate Event
Delete Event
Tip: You can also access these actions from the Manage Event button. This will take you to the event's management page, where you can access the available event management tools.
Creating an Event
To create an event:
Go to Operations from the main menu.
Click Create Event.
Select your event type from the options and follow the steps below to set up your event.
Step 1: Add your event information
Start by adding the basic information attendees will see on your event page.
Basic Details
Event Name: Enter the name of your event.
Event Start Date & Time: Select when your event starts.
Event End Date & Time: Select when your event ends.
Tip: If your event takes place on recurring dates, use the Recurring Event option to manage all event instances together. For one-time events, you can also duplicate the event after publishing and change the date on the copy.
Promo Banner: Upload an image to represent your event.
Drag and drop your image into the upload area or click to upload a file. We recommend a banner width of 930 px. Supported file types are PNG and JPEG.
Is your event private?: Enable this option if you don't want your event to appear in menus or search results.
Is your event online?: Enable this option if your event is taking place online. If your event is in person, enter the Event Address.
Event Address: Enter the address of your event venue.
Additional details: Use this field for additional location details, such as a room number, building name, floor, or level.
Event Description
Add a description explaining what your event is about and why attendees should join.
You can include useful information such as the event theme, who can attend, dress code, or anything else attendees should know before purchasing a ticket.
Extra Information
You can add additional information to your event page to give attendees more details and improve their ticketing experience.
Facebook URL: Add a link to your Facebook event. This field is optional.
Refund Policy: Select the refund policy that applies to your event. Available options include:
On a case-by-case basis
Up to 1 day before the event starts
Up to 3 days before the event starts
Up to 7 days before the event starts
Up to 30 days before the event starts
No refunds
This field is optional.
Terms & Conditions: Add any terms and conditions that attendees should agree to when purchasing tickets. This field is optional.
Step 2: Set up your tickets
After completing your event information, click Next to set up your tickets.
You must create at least one ticket type before you can publish your event. You can create multiple ticket types if you want to offer different options to attendees, such as member and non-member tickets, early-bird tickets, or different ticket releases.
General ticket settings
These settings apply to your event as a whole:
When do you want to start selling?: Set the date and time when ticket sales should begin.
When do you want to stop selling?: Set the date and time when ticket sales should end.
Total number of tickets for event: Set the maximum number of tickets that can be sold for the entire event. This field is optional.
Maximum tickets per order: Set the maximum number of tickets an attendee can purchase in a single order. This field is optional and defaults to 10.
Selling Fees: Choose whether to:
Pass selling fees on to buyers, or
Absorb selling fees yourself.
Note: Events can have both paid and free tickets. To create a free ticket, simply set the Ticket Price to $0.
Tables and groups
If your event requires attendees to be organised into tables or other groups, enable Does your event have tables or groups? Attendees will be prompted to select their seating or group after purchasing their ticket.
This can be useful for events such as balls, dinners, or other events where attendees need to select a table or group when purchasing their tickets.
Create your tickets
Under Create Tickets, click Add Ticket to create your first ticket type.
You can create multiple ticket types for the same event.
For each ticket, you'll need to provide:
Ticket Name: Give your ticket type a clear name, such as General Admission, Member Ticket, or Early Bird.
Available ticket quantity: Set the maximum number of tickets available for this ticket type. This field is optional.
Ticket Price: Enter the price of the ticket. Enter $0 to create a free ticket.
Allow only club members to buy this ticket: Enable this option if you want to restrict the ticket to members of your club. You can then select which membership types are eligible to purchase the ticket.
Custom sales times
Enable Allow custom start and stop sales time for this ticket type? if you want this specific ticket type to have different sales dates and times from your event's general ticket sales period.
This can be useful when offering different ticket releases, such as Early Bird, General Admission, or Final Release tickets.
Advanced Ticket Settings
Expand Advanced Ticket Settings to access additional options for your ticket:
Set a password to purchase this: Require attendees to enter a password before they can purchase this ticket.
Enforce minimum order quantity for this ticket type: Require attendees to purchase a minimum number of tickets in the same order. This can be useful for group or package tickets.
Collect extra information for ticket holders: Collect additional information from attendees when they purchase this ticket such as email address, student number, degree, year of study, dietary requirements, accessibility requirements or any other information.
Once you've created your ticket type, click Save. You can then click Add Ticket again if you need to create additional ticket types.
When youโre done with tickets set up, hit Next.
Step 3: Complete your campus requirements
Depending on your university or student union's setup, you may be asked to provide additional information about your event before you can publish it.
These questions are set by your campus and may include information required for things such as event approval, compliance, risk management, or venue requirements.
Note: Not all clubs will see this step. The questions will only appear if your university or student union has enabled event requirements or approvals.
Complete the questions shown on the page, then review your answers before continuing.
Once you've reviewed your answers, click Next.
Step 4: Upsell merchandise
You can offer merchandise to attendees as part of their event purchase.
On the Upsell Merchandise page, you'll see the merchandise items currently available in your club's merchandise store.
You can select up to 5 merchandise items to offer during the event ticket purchase process.
Select the items you'd like to make available to attendees.
If you don't want to offer merchandise with your event, you can simply continue to the next step.
Click Next when you're ready.
Tip: You can save your progress at any point during the event setup process by clicking Save Progress & Exit. You can also click Back to return to the previous step or Next to continue.
Step 5: Review and publish your event
The final step gives you an opportunity to review the information you've entered throughout the event creation process.
Review your:
Event details
Ticket details
Merchandise selections, if applicable
Once you've reviewed everything, click Publish.
What happens after you publish?
After clicking Publish, you'll be taken to the event's management page.
This is the main page you'll use to manage your event after it has been created. From here, you can access:
Overview: View your event details and access key event actions.
Purchases: View tickets purchased for your event.
Refunds: View and manage ticket refunds.
Waiting List: View attendees on your event's waiting list.
Sell Cash Tickets: Sell tickets to attendees in person.
Ticket Scanners: Add and manage ticket scanners for checking attendees in at the event.
Collaborators: Manage clubs or societies collaborating on the event, if applicable.
View Event Page: Open the public-facing event page that attendees will see.
The Event Management page also provides Next Steps and other helpful information to help you manage your event, such as sending email invitations and adding ticket scanners.
What happens if your event requires approval?
If your university or student union requires events to be approved, your event will be submitted for review after you click Publish.
Your event will show as Pending Approval on the Event Management page and in the Draft Events section of your Events overview.
While your event is pending approval, it won't be publicly available.
Once an administrator reviews your event:
If approved: Your event will be published and will appear on your Link In Bio. Its status will also update on your Events page.
If rejected: Your event will show as rejected on your Events page, and you'll receive an email notification with the administrator's feedback.
If event approval is not required, your event will be published immediately and will appear on your Link In Bio.
