Create a Recurring Event

Recurring Events let you create multiple instances of the same event series at once, rather than creating each event individually. For example, you could use a recurring event for a weekly club meeting, a daily orientation session, or any event that takes place on multiple dates.

Creating a Recurring Event

  1. Log in to your Club account.

  2. Go to Operations from the main menu.

  3. Click Events.

  4. Click Create Recurring Event.

The event creation process is similar to creating a regular event. You’ll first enter your event information, then set up your event schedule.

Step 1: Add your event information

Enter the basic information for your event, including:

  • Event name

  • Event description

  • Event banner

  • Event address

  • Event date and time

  • Extra information, such as a Facebook URL, refund policy, or terms and conditions

Step 2: Set your event schedule

Instead of setting up tickets immediately, you’ll first choose when your event will occur using the Event Schedule calendar.

Click the date you’d like your event to start. A side panel will open where you can set:

  • Start Date/Time

  • End Time

  • When will this event occur?

    • Once

    • Daily

    • Weekly

Daily events

If you select Daily, choose how often the event should repeat under Repeat Every.

You can then choose when the recurring events should end:

  • After number of occurrences

  • On a specific date

Weekly events

If you select Weekly, choose how often the event should repeat under Repeat Every.

You can then select which days of the week the event should occur:

Sun · Mon · Tue · Wed · Thur · Fri · Sat

You’ll also choose when the recurring events should end:

  • After number of occurrences

  • On a specific date

Create your event instances

Once you've configured the schedule, click Create Event Instance.

The schedule panel will close and the event instance will appear on the calendar.

You can repeat this process to create multiple event instances. This gives you the flexibility to create different dates and schedules within the same recurring event series.

When you're finished creating your event instances, click Next to continue.

Step 3 and beyond

After setting up your event schedule, the remaining steps follow the same process as a regular event:

  • Tickets - Set up your ticket types, pricing, sales periods, capacity and other ticket settings.

  • Compliance questions - If your university or student union requires event approval, complete the required questions and review your answers.

  • Upsell Merchandise - Optionally add merchandise to your event ticket sales.

  • Review - Review your event before publishing.

Event approval

If your university or student union requires event approval, recurring events use a simplified approval process. You only need to submit the recurring event series for approval once, rather than submitting each event instance individually.

Managing a Recurring Event

Once created, your recurring event series will appear as a single event under Recurring Events on the main Events page.

To manage the series:

  1. Find the recurring event under Recurring Events.

  2. Click Manage Event.

From here, you’ll see all the event instances within the series.

Each event instance can be managed individually, just like a regular event.

You can also use the series-level options to:

  • Edit General Info - Update general information for the recurring event series.

  • Archive Series - Archive the recurring event series.

Note: The controls and options available to you may vary depending on your event setup and the controls enabled by your university or student union.
