Adding compliance items
The three item types (forms, training, executive team), their settings, and open dates and deadlines
Each compliance item is one column in your compliance table and one requirement on every club's compliance page. Items come in three types, and each type is linked to something real on the platform — that link is what makes statuses update automatically.
Adding an item
Go to Compliance and click Manage Items.
Click Add item.
Give the item a name. This is what unions and clubs see — for example, "AGM Minutes". It's also used to name the item's compliance tags, so keep it recognisable.
Pick the item type and fill in its settings (below).
Click Add.
You can drag items to reorder the table's columns, and archive an item at any time — archiving removes the column and the requirement from club pages, and cleans up its compliance tags automatically.
Form items
The club must submit a specific form.
Form — pick from your active forms that clubs can log in and submit.
Requires approval — when on, a submission only counts as Approved after your team approves it; a submission awaiting review shows as Pending, and a rejected one as Rejected. When off, any submission counts immediately.
If a club submits more than once, the best submission wins — one approved submission keeps the club Approved regardless of other attempts.
Training items
The club's executives must complete a training program.
Training program — pick from your student training programs.
Who must complete it — any one exec, all current execs, or every exec holding specific standard roles (for example, President and Treasurer).
Executive team items
The club must have its team in order — this checks the club's current team, so it has no dates and is evaluated year-round.
Required roles — standard roles that must be filled (President, Vice President, Secretary, Treasurer).
Minimum number of execs — optionally, a headcount the team must meet.
You can set either or both. Only team members who have accepted their invite count.
Open dates and deadlines
Form and training items live inside your compliance year:
Due date (required) — the deadline. Past this date, clubs that haven't met the requirement show as overdue.
Open date (optional) — when the item starts accepting activity. Before it, the column shows "Opens" with the date and nothing is counted or chased. If you leave it empty, the item opens on your rollover day.
Late still counts: a club that submits after the deadline flips to Approved (and stops being chased) — the deadline marks overdue, it doesn't shut the door. Everything resets on your rollover day, and because dates are stored as day-and-month, items re-arm automatically every year — there is nothing to set up again in year two.
