Getting started with Compliance

What the Compliance module does, how statuses derive themselves, and the two-step setup

The Compliance module gives you a live table of every club against each of your compliance requirements — form submissions, training completion, and executive team requirements. There is nothing to update by hand: statuses are worked out automatically from what clubs actually do on the platform, so the table is always current.

How it works

Each compliance item you create is linked to something real on the platform:

  • a form clubs must submit (for example, AGM Minutes),

  • a training program club execs must complete, or

  • an executive team requirement (specific roles filled, or a minimum number of execs).

When a club submits the form, completes the training, or updates their team, their status updates by itself. You never set a status manually — if a cell looks wrong, the fix is always in the source: the form submission, the training record, or the club's team page.

Clubs see the same statuses on their own Compliance page in the club portal, along with a button that takes them straight to whatever they need to action.

The compliance year

Compliance runs on a yearly cycle. On your rollover day, every status resets and the new year begins — a club that was compliant last year starts fresh. Each item can have its own open date and deadline inside the year (see Adding compliance items).

Setting up

  1. Go to Compliance in your union portal.

  2. Click Manage Items.

  3. Set your compliance year rollover day — the day each year when all statuses reset (for example, 1 September). Click Save.

  4. Add your compliance items — one per requirement. See Adding compliance items for the options.

That's the whole setup. From here the table fills itself in, and you can sort, search, filter by affiliation, and export the table to CSV at any time.

What's on the page

  • Filter tabs — the table opens showing affiliated clubs; switch tabs to see pending or all clubs.

  • Sortable columns — click any column header, including item columns, which sort worst-first so problem clubs surface immediately.

  • Email Clubs — opens the email composer with compliance recipient targeting preselected (see Emailing clubs about compliance).

  • Export CSV — downloads the current view, including statuses and dates for every item.
