Understanding compliance statuses

What each status means, why cells aren't clickable, and how the yearly reset and compliance tags work

Every cell in the compliance table is worked out live from platform data. Statuses can't be edited directly — this article explains what each one means and what changes it.

The four statuses

  • Approved — the requirement is met: an approved (or accepted) form submission, the training bar met, or the required team in place. The cell shows the date it was met.

  • Pending — something is in motion but not finished: a form submission awaiting your review, some training progress, or execs listed but the requirement not yet met. Pending clubs are not treated as non-compliant — they're waiting on process, not ignoring you.

  • Rejected — every form submission the club made this year was rejected. A new submission moves them back to Pending (or Approved).

  • Not Submitted — nothing counted this year: no submission, no training progress, or no execs listed.

Two display states also appear on cells:

  • Opens [date] — the item's window hasn't opened yet; nothing is being counted and nobody is chased.

  • Overdue — the deadline has passed and the club isn't Approved. Overdue is a flag on top of the status, not a status itself — and a late submission still counts and clears it.

Why you can't click a status

Statuses are derived, not stored. To change one, act in the module it comes from:

  • A form item's status — approve or reject the club's submission in Forms, or have the club submit.

  • A training item's status — the relevant execs complete the training program.

  • An exec item's status — the club updates its team (accepted members in the required roles).

The table (and the club's own page) updates as soon as it's reloaded. This is deliberate: the compliance table can never disagree with the underlying records, because it is the underlying records.

Rules worth knowing

  • Best submission wins. Multiple form submissions never hurt a club — one approved submission keeps them Approved even if a later attempt is rejected.

  • Late counts. After the deadline a club shows overdue, but meeting the requirement any time before your rollover day still flips them to Approved.

  • Exec items are always live. They check the club's current team, all year — a club that loses its Treasurer mid-year goes back to Pending until the role is refilled.

  • Everything resets at rollover. On your compliance year rollover day, last year's activity stops counting and every club starts the new year fresh (exec items excepted, since they're current-state).

Compliance tags

Behind the scenes, each item maintains a pair of club tags — "Item name - Compliant" and "Item name - Non Compliant" — plus an overall "Compliance - Compliant" / "Compliance - Non Compliant" pair for each club's whole standing. These update automatically about once an hour, and they're what the compliance email targeting uses. Clubs with a Pending status carry neither tag, so they're never chased while waiting on your review. The tags are managed for you — they can't be deleted, and renaming an item renames its tags.
