What happens when you delete a store, group, item or form
What deleting a store, item group, item or booking form does to its bookings, when it's refused, and how to pause instead
Deleting something in Inventory Booking never removes the record of what was borrowed, but it can affect bookings that are still to come. You'll always see what will happen before you confirm, and Rubric won't let you delete a store or group while any of its items are out or approved for pickup.
Deleting a store
Where: on the Inventory Stores page, click Delete in the store's Actions menu.
When it's refused: if any of the store's bookings are checked out or approved for pickup. Mark those items returned or cancel the bookings on the Bookings page first.
What happens: the store's items can no longer be booked. Pending requests are cancelled, and the students and clubs who made them see a note on their submission saying the store has closed. Drafts that include its items are cleared.
To pause instead: turn off This store is taking bookings on the store's Settings page.
Deleting an item group
Where: on the Items page, select the group, open the ⋮ menu and click Delete Group.
When it's refused: if any of the group's bookings are checked out or approved for pickup, until they're returned or cancelled.
What happens: every item in the group is deleted too.
To pause instead: click Edit Group and turn off Active, so the group's items can't be booked.
Deleting an item
Where: on the Items page, click Delete in the item's Actions menu, or use the bin icon in the item's details.
What happens: the item can no longer be booked. If it's out, it stays out and can be returned as usual. Requested or approved bookings for it can't go ahead — approving or checking them out will be refused — so cancel them, or use Change to move them to another item.
To pause instead: click Switch off to stop it being booked while it's being repaired, and Switch on when it's back.
Deleting a booking form
Where: on the Booking Forms page, click Delete Application in the form's Actions menu.
What happens: no new bookings can be made through the form, including by anyone who already has it open. Bookings already made through it stay as they are, so manage them on the Bookings page as normal.
To pause instead: click Deactivate to stop new bookings through the form, and Activate to open it again.
